Max'd Out ("we," "us," or "our") provides an AI-powered bookkeeping capture service delivered via SMS. This Privacy Policy explains what information we collect, how we use it, and your rights regarding that information.

SMS disclosure: By providing your mobile number and using our service, you consent to receive SMS messages from Max'd Out related to your account and bookkeeping activity. Message frequency varies based on your usage. Message and data rates may apply. Reply STOP to opt out at any time. Reply HELP for assistance.

1. Information We Collect

We collect information you provide directly when you sign up and use our service:

Name, email address, and mobile phone number
Billing information (processed by Stripe — we do not store card numbers)
Business data you submit via SMS: expense descriptions, invoice details, client names, vendor names, expense categories
Uploaded files: QuickBooks export CSVs containing client, vendor, and chart of accounts data
Voice memos submitted via SMS (transcribed and then discarded — we do not retain audio files)

2. How We Use Your Information

We use the information we collect to:

Provide and operate the Max'd Out bookkeeping service
Process, classify, and store your expense and invoice entries
Generate QuickBooks-compatible export files
Send you SMS confirmations, alerts, and weekly business health reports
Manage your subscription and billing via Stripe
Respond to support requests
Improve the service (aggregate, anonymized patterns only — never your individual business data)

3. SMS Communications

Max'd Out communicates with you primarily via SMS. By enrolling in our service, you agree to receive SMS messages including:

Transaction confirmations and clarification requests
Weekly business health outlook reports (configurable)
Expense alerts when spending exceeds configured thresholds
Account and billing notifications

You can opt out of SMS communications at any time by replying STOP to any message. Opting out will disable the SMS functionality of the service. You can re-enable by contacting us at [email protected].

4. Information Sharing

We do not sell, rent, or share your personal information or business data with third parties for marketing or advertising purposes. We share information only as follows:

Service providers — we use third-party providers to operate Max'd Out, including SMS delivery, AI processing, voice transcription, payment processing, and data storage. These providers access your data only as necessary to deliver the service.
Legal requirements — if required by law, court order, or governmental authority.

All third-party providers are bound by their own privacy policies and applicable data processing agreements.

5. Data Retention

We retain your business records for 7 years from the date of creation, consistent with standard IRS audit windows and business record retention requirements for financial documents. This applies regardless of whether your subscription is active.

On account cancellation, your data is archived — not deleted. You retain the right to request your full history for up to 7 years after your last activity date.

6. Data Security

We use industry-standard security measures to protect your information, including encrypted connections (TLS), access controls, and isolated per-account data storage. No method of transmission over the internet is 100% secure, and we cannot guarantee absolute security.

Depending on your location, you may have the right to:

Request correction of inaccurate information
Request deletion of your personal information (subject to our retention obligations)
